Community & Events Privacy Notice

SOOCI APPAREL LLC operates community programs including Out Run Comfort, the Give Back Initiative, Fueling Faith, and our ambassador program.

This notice explains how we handle personal information connected with these programs, event registrations, and community media. It supplements our Privacy Policy, which covers our online store and general website practices.

Information we collect

Depending on how you participate, we may collect:

• Your name, email address, phone number, and chapter or location preference.

• Event registrations, RSVPs, check-ins, and attendance history.

• Messages, feedback, and information you voluntarily provide.

• Ambassador application details, social media handles, referral activity, and information needed to administer commissions.

• Records of marketing preferences, participation agreements, and photo or video permissions.

• Photos and videos taken at community activities.

The information collected depends on the event, program, or form you use.

How we use information

We use this information to organize activities, manage registrations, communicate event details or changes, maintain participation records, respond to questions, and improve our programs.

For ambassadors, we may also use information to review applications, manage participation, track referrals, and administer commissions.

Where permitted and consistent with your permissions, we may use community photos, videos, or submitted content to share SOOCI stories and promote our programs.

Event communications and marketing

Registering for an event may result in communications related to that registration, such as confirmations, reminders, location changes, or cancellations.

An RSVP does not automatically enroll you in promotional email or text messages. Marketing subscriptions are handled separately through the applicable signup process.

You can unsubscribe from promotional emails using the unsubscribe link. For marketing texts, follow the opt-out instructions provided in the messages. You may also contact us for help updating your preferences.

Photos and videos

Photography and filming may take place at SOOCI activities. Images may appear on our website, media page, social channels, or promotional materials, subject to applicable law and any permissions obtained.

This notice is not a photo release, and attending an event does not by itself constitute consent to every use of your image.

If you prefer not to be photographed, please tell an organizer before the activity. To raise a concern about a published image, email contact@soociapparel.com and identify the image or post. We will review your request, although we may not be able to remove copies shared by others or materials already distributed.

Who may receive information

Information may be available to SOOCI staff and program organizers who need it to administer the relevant activity.

We may also use service providers for website hosting, event registration, email, document storage, messaging, ambassador administration, and payment processing. These may include Shopify, Microsoft 365, and UpPromote, depending on the program.

Where an event involves a partner organization, any sharing of participant information should be explained during registration or otherwise communicated to you.

If you choose to join a third-party group or platform, such as GroupMe, that platform’s privacy terms apply. Your profile and messages may be visible to other group members.

We may also disclose information where required by law or necessary to address legal claims or protect people’s safety.

Information retention

We retain information for as long as reasonably needed to administer programs, maintain relevant participation and consent records, meet accounting or legal obligations, and resolve disputes.

Retention periods vary by the type of information and its purpose. Some records may need to be retained after you stop participating.

Your choices and requests

You can contact us to request access to, correction of, or deletion of your information, or to update your communication preferences.

Depending on applicable law, these requests may be subject to verification and exceptions. For example, we may need to retain certain accounting, legal, or consent records.

Please avoid sending sensitive information in an initial request. We will contact you if further details are needed.

Separate participation agreements

Event waivers, participation rules, ambassador agreements, and photo releases may apply separately. This privacy notice does not replace those documents or serve as acceptance of them.

Changes to this notice

We may update this notice as our programs or information practices change. We will revise the date above and provide additional notice where required by law.
